Start with the organization that changed the plan
Confirm the new appointment location or timing with the center. Write down which details are final and which are still pending. Ask what practical arrangements need to be reconsidered, without assuming that a change in one appointment affects every part of the trip.
Review each reservation separately
Check the cancellation or modification deadline for accommodation, transport and other bookings. Save the terms that applied when the purchase was made. If a deadline is near, contact the responsible provider and ask what options exist rather than assuming a medical exception is available.
Keep a record of changes
Note whom you contacted, when, the requested change, any quoted fee and the confirmation received. Distinguish a pending request from a completed change. If a refund is promised, keep the reference and expected processing information supplied by the provider.
Recalculate the remaining cost
Update the trip budget with the revised number of nights, new transport arrangements and any nonrefundable charges. Do not count a promised reimbursement as cash available until its timing and conditions are clear. Keep a cash-needed estimate separate from the total expected cost.
Tell the people who need the update
Update the caregiver handoff sheet and notify the people responsible for rides, accommodation or other tasks. This website cannot modify a reservation or appointment. Use the center or booking provider that manages the arrangement.
